Refund Policy

Effective Date: January 1, 2026

Rooted Notary and Background Solutions is committed to transparency and fairness in all transactions. This Refund Policy explains when refunds may or may not be issued for services provided. By scheduling or purchasing services, you acknowledge and agree to this Refund Policy.

General Policy

Because our services involve professional time, legal compliance, identity verification, and in some cases biometric data collection, many services are non-refundable once initiated.

Refunds are considered only in limited circumstances and are evaluated on a case-by-case basis.

Non-Refundable Services

The following services and fees are non-refundable once initiated or performed, including but not limited to:

  • Completed notary services

  • Remote Online Notary (RON) sessions once the session has started

  • Fingerprinting services once fingerprints are captured

  • Background check processing services once submitted

  • Mobile service travel fees once a notary has been dispatched

  • No-show appointments

  • Late cancellations

Refunds are not provided based on document rejection by a third party, agency, employer, or receiving institution.

Refund-Eligible Situations

Refunds may be issued only under the following circumstances:

  • Duplicate payment made in error

  • Appointment canceled by Rooted Notary and Background Solutions prior to service initiation

  • Payment processed for a service that could not be performed due to company error

Refund eligibility does not apply to client error, lack of preparation, or failure to meet service requirements.

Appointment Cancellations and Rescheduling

Clients are encouraged to provide advance notice if they need to cancel or reschedule an appointment.

  • Cancellation and rescheduling policies may vary by service

  • Missed appointments and late cancellations are not eligible for refunds

  • Rescheduling may be offered at the company’s discretion

Mobile Services Refund Policy

For mobile services:

  • Travel and convenience fees are non-refundable once the notary has been dispatched

  • If service cannot be completed due to unsafe, unlawful, or unsuitable conditions at the location, no refund will be issued

  • If the client is unavailable at the scheduled time, the appointment is considered a no-show

Remote Online Notary (RON) Refund Policy

For Remote Online Notary services:

  • RON sessions are non-refundable once identity verification begins

  • Failed identity verification, technical issues on the client’s end, or incomplete documentation do not qualify for a refund

  • If a RON session is canceled by Rooted Notary and Background Solutions before initiation, a refund may be issued

Fingerprinting and Background Check Refund Policy

  • Fingerprinting services are non-refundable once prints are captured

  • Background check processing fees are non-refundable once submitted to an agency

  • Processing times and results are determined by the receiving agency and are outside our control

How Refunds Are Issued

Approved refunds will be:

  • Issued to the original payment method

  • Processed within a reasonable timeframe based on the payment provider

  • Limited to the amount paid for the specific service

Refunds do not include third-party processing fees where applicable.

Disputes and Chargebacks

Clients are encouraged to contact us directly before initiating a chargeback.

Unauthorized chargebacks may result in:

  • Suspension of future services

  • Submission of documentation to the payment processor

  • Recovery of administrative and dispute-related costs

Legal Compliance

This Refund Policy is governed by the laws of the State of Ohio and is intended to comply with applicable consumer protection laws.

Nothing in this policy limits rights that cannot be waived under Ohio law.

Policy Updates

Rooted Notary and Background Solutions reserves the right to update this Refund Policy at any time. Updates will be posted on this page with a revised effective date.
