Booking Policy
By scheduling an appointment with Rooted Notary & Background Solutions, you acknowledge and agree to the following Booking & Appointment Policy. This policy applies to all in-person, mobile, and remote services unless otherwise stated.

APPOINTMENT CONFIRMATION AND PAYMENT
Full payment is required at the time of booking.
Appointments are not confirmed until payment is successfully received.
Pricing is based on the selected service and any applicable add-ons, including but not limited to additional signatures, additional signers, travel, after-hours service, or priority service.

IDENTIFICATION REQUIREMENTS
All signers must present one valid, unexpired, government-issued photo identification at the time of service.
Acceptable forms of identification include:

State-issued driver’s license

State-issued identification card
-
U.S. passport or U.S. passport card

U.S. military identification, where permitted by law
The name on the identification must reasonably match the name on the document being notarized.
The following are not accepted:

Expired identification
-
Photocopies or digital images of identification
-
Temporary or paper identification
Failure to present acceptable identification will result in refusal of service without refund.

DOCUMENT READINESS AND CLIENT RESPONSIBILITY
Documents must be complete and unsigned prior to notarization.
All signers must be present, willing, and mentally competent at the time of service.
Clients are responsible for ensuring documents are accurate, complete, and suitable for their intended purpose.
The notary does not verify the accuracy, legality, or completeness of document contents.

SCOPE OF NOTARY SERVICES
The notary’s role is limited to verifying identity, administering the notarial act, and completing the notarial certificate.
Notary services do not include legal advice, document preparation, document selection, or explanation of document contents.
The company does not guarantee acceptance of notarized documents by third parties, agencies, courts, or institutions.

LANGUAGE COMPREHENSION AND VOLUNTARY SIGNING
Signers must understand the document they are signing.
The notary is not responsible for explaining documents or confirming a signer’s understanding.
Service may be refused if a signer appears confused, unwilling, under duress, or unable to sign voluntarily.

WITNESS REQUIREMENTS
If witnesses are required for a document, it is the client’s responsibility to provide qualified witnesses at the time of the appointment unless otherwise stated in writing.
Failure to provide required witnesses may result in refusal of service without refund.

MINORS
Notary services involving minors are limited and subject to Ohio law.
Additional documentation may be required.
Some documents involving minors may not be notarized.

GRACE PERIOD AND LATE ARRIVAL
Appointments include a 15-minute grace period.
After the grace period, the appointment may be cancelled and require rebooking at full price, or additional wait time may be billed where applicable.
For remote or online appointments, failure to join within 10 minutes of the scheduled start time results in forfeiture of the session.

CANCELLATIONS, NO-SHOWS, AND REFUNDS
All fees are non-refundable once an appointment begins or services are completed.
Services are considered to have begun once the scheduled appointment time is reached and the notary or operator is prepared to perform the service.
Late cancellations and no-shows require rebooking at full price.
Client error, missing or incorrect documents, invalid identification, or failure to meet requirements do not qualify for a refund.

REFUSAL OF SERVICE
The notary reserves the right to refuse service if:

Identification requirements are not met

The signer is unwilling, unable, or appears under duress

The signer lacks apparent mental capacity

The transaction is not permitted by law

Required documents or information are missing or incomplete
Refusal of service does not entitle the client to a refund.

REMOTE AND ONLINE SERVICES
Remote appointments must be completed in one continuous session.
Identity verification is required and may include credential analysis and authentication steps.
Technical issues, connectivity failures, or inability to complete identity verification may require the session to be rescheduled at full cost.

MOBILE AND ON-SITE SERVICES
Mobile and on-site appointments include travel and setup time.
Travel fees are non-refundable once the notary is en route.
Clients must provide a safe, suitable, and accessible workspace.

DATA HANDLING AND RECORD RETENTION
Client information is handled securely and retained only as required by law and operational compliance.
Records related to notarial acts may be retained for audit, compliance, and recordkeeping purposes.

FORCE MAJEURE
Appointments may be delayed, rescheduled, or cancelled due to events beyond the company’s control, including but not limited to severe weather, emergencies, power outages, system failures, or other unforeseen circumstances.

POLICY PRECEDENCE
In the event of a conflict between verbal communication and written policies, written policies shall govern.
